We are recruiting to fill the position of  Administrative & Human Resources Assistant




JOB DESCRIPTIONS
  1. Under general supervision of the HR Officer and working closely with the Admin Officer, performs a variety of clerical duties related to the HR functions.
  2. S/he shall ensure that the overall day to day running of the office administration is conducted in an efficient and cost effective manner while keeping in mind legal considerations and donor requirements where necessary.


JOB RESPONSIBILITIES
Human Resources:
  1. Assist in the administering recruitment process by receiving and opening applications letters/mails, file in accordance of title of positions for shortlist by HR Officer. Prepare matrix of shortlisted candidates as required.
  2. Coordinate recruitment of Casual/Daily workers and send report to HR Officer
  3. Prepare contracts for Casual/Daily workers and send to HR Officer
  4. Contact candidates for writing test and interview. Assist in administering computers for the writing test.
  5. Maintain the consultant roster and translators/interpreters roster. Be responsible for filing of consultants files.
  6. Record and maintain attendance records of all staff to ensure the accuracy of all records
  7. Compile and assist with the shortlist of the candidates and invite short listed candidates for interviews.
  8. Liaise with recruiting managers to prepare interview questions and prepare interview summaries after each interview.
  9. Participate in Interviews as and when necessary.
  10. Ensure reference checks are carried out before offer letters are issued out.
  11. Ensure timely submission of recruitment information to the HR Manager or designate
  12. Performs other HR related duties, as required.
Administrative:
  1. Ensure correct use of office equipment, servicing, repairs and ensure controls are maintained
  2. Organizing supplies needed for the events such as trainings, workshops, seminars, meetings etc. (stationary, refreshments, lunch, etc.)
  3. Ensure administrative policies and procedures are followed.
  4. Provide back-up support to the program support staff in general office work
  5. Maintain petty cash operation and ensure internal controls and petty cash policy are followed adequately.
  6. Keep record of stationary usage for monthly orders (photocopy paper, flipchart paper, stationary for workshops and for the office)
  7. Type documents and input data as required
  8. Photocopy and bind documents as required


 REQUIREMENTS FOR THIS POSITION
Qualifications
  1. Good education background, additional training in administrative/ human resources field is an advantage.

Required Skills and Experience:
  1. Demonstrates integrity by modeling the CARE’s values and ethical standards
  2. Good understanding of CARE business, operational environment and its program participants and donors
  3. Strong analytical skills
  4. Ability to remain calm, in control and good humor even under pressure
  5. Proficient in use of Microsoft applications, including Excel, Word, PowerPoint & Outlook (or similar software); Good knowledge of Administrative systems, practice, policies and procedures.
  6. Fluency in English and Hausa is required.
  7. Strong customer service focus and ability to work well with people from varied backgrounds and cultures at all levels in organization.
  8. Strong level of initiative to provide independent follow through on processing issues and concerns.
  9. Strong problem solving, analytical, operational, and coordinating abilities,
  10. Ability to demonstrate openness to change and ability to manage complexities
  11. Ability to promote integrity and business ethics; demonstrate mature judgment, trust and open communication.
  12. Ability to ensure effective team work, collaborative behavior and build team spirit
  13. Ability to develop collaborative and harmonious relationship with external partners and clients at the senior level.
  14. Proficient in the use of computer applications and systems
  15. Ability to work closely and harmoniously with a team
  16. Good organizational and communication skills, highly disciplined and responsible
  17. Fluency in English and Hausa
  18. Computer skills, including internet navigation, and various office applications.
  19. Demonstrated ability to work in a multicultural environment, and establish harmonious and effective working relationships, both within and outside the organization.
  20. Previous experience working with an INGO or a Development organization.
  21. Ability to exercise independent judgment and work without supervision
  22. Ability to multitask and work within deadlines.
